Our 5 Must Have Apps | So You Want to be a Photographer? The Series

We get asked about photography and business related questions all the time. If you’re a photographer, you’ve heard a few of these:

  • What camera should I get?
  • What should I charge if I’m new?
  • What programs do I/don’t I need?
  • What’s in your camera bag?
  • What gear do you have?


We’ve been thinking about a way to streamline these questions for new photographers and thought, why not turn it into a little bit of a series? Introducing: So You Want to Be a Photographer? #SYWTBAP for short, not inspired by a famous dance competition because we’re, like, totes original here.

First up, our 5 Must Have Apps. And, bonus, the first one is freeeeeeee.

Ok, let’s back track for a second. I’m the type of gal who goes from this to this in seconds flat.

Yeah, total boss babe working hard, doing all the things and all of a sudden, puppies!!! I need some structure. Enter:

1 – Station. Station is an app that allows you to focus solely on your most used apps/websites. You can add team members, mute notifications for a period of time, and stay off the distraction of social media! It’s also full screen to avoid distractions. #winning. It hangs out on the side of your screen with your preferred apps in sight for you to toggle between. Spoiler alert! Here’s my most used apps in a beautifully organized control center.

Station has tons of apps to choose from. Currently on my list: Dubsado, Trello, Gmail, Google Drive, Google Calendars, Facebook Messenger, Stripe, Dropbox, YNAB, Evernote, and IFTTT.  The more users request a specific website/app, the higher that goes on the to-integrate list for Station. My current wishlist: Showit Sites. It would literally make my “station” control center complete.

2 – Dubsado. My favorite workflow system, my favorite customer service team (they communicate in gifs to me – they get me), literally the best CRM system I’ve ever tried… and I’ve tried them all. Not kidding. I was with Tave for 4-5 years, moved on to Sprout for a few years, tested out Honeybook and Studio Ninja… and before that, I snail mailed contracts, waited for checks in the mail, actually went into my bank to drop those checks off, and balanced my profits/COGs/taxes in Spreadsheets. Y’all. I’ve been around the block.

Dubsado won me over with the ability to customize literally everything to my branding. I wanted my clients to move seamlessly between applications without missing a beat or noticing the different applications in general (payment portals, contract signing, questionnaires, galleries, album drafts, they were all different -and different looking- at one point). I’m staying because I absolutely adore how hard they work for their clients, how quickly they work to integrate new technology and applications into the system, and how even one of our clients (of 7 years, hey B family!), who has actually tried every system we have had, complimented us on the ease of use of THIS system. YASSSS.

To the seasoned photographers reading this and wondering about Dubsado, obviously I cannot show the system in it’s entirety here on the blog (the dashboard has private information – location, yearly profits, client names, etc). The screenshot above is of my album proposal where clients can confirm cover options and add any upgrades they may desire. From there, it automatically goes to an invoice (hello, workflow automatization!). There’s so much more to Dubsado than this, of course, and I can spend hours explaining why it’s so different from all the other programs I’ve used.

Yes, they have a free trial available (and instead of it being timed, it’s per clients!). Soleil’s Must Have Rating: 10/10. Would NOT run the business without it.


3 – BlogStomp.

Resize, sharpen, AND pair your photos in a snitch! Blogstomp is a pretty simple system, but a complete time saver. I even use the company’s Album Stomp for album designing as well. Easy. Hella useful. Without Blogstomp, I would be exporting images twice, once for the client and again in sizes appropriate for sharing on social media & blogs… which I would do in Photoshop using an action I created to sharpen the image and save for web. One. At. A. Time. Pain in the ass.

Now I export images once, they upload quickly into Blogstomp, I select which go to blog/social media directly from there (or batch stomp them all) and “stomp” (sharpen, resize, and save) into a separate folder for easy access.

Soleil’s Must Have Rating: 7/10.


4 – Trello.

Freakin’ Trello, man. I refuse to live without it. Each one of my clients gets their own board and I place my entire workflow into the board. Errrrkkkk break check. But you have Dubsado, Soleil. Yes! But here’s where I place all my THOUGHTS and NOTES on each aspect of a client’s experience without having to relay them to the client in Dubsado until it is set in stone.

Example, above is Wendi’s 50th Cake Smash Trello Board! We have outfit ideas to go through, vendors to confirm, locations to decide on, ideas we are tossing around, lots of decisions to be made. Once everything is confirmed, I can then go into Dubsado and create the proper, personalized proposal, contract, and invoice for Wendi, that reflects exactly what we curated just for her. 

Wedding Boards include Engagement Locations + Vendors, Timeline Examples, Family Dynamics, Wedding Party, Vendors, General Notes, Requests, included Products, COGs, Mileage, Transportation confirmations (air travel, hotel stays, car rentals), pretty much a centralized spot for everything and anything I may need to access or keep record of quickly.

As of now, I do not share my Trello boards with my clients. Anything we need from them goes directly through Dubsado (which has it’s own version of Trello called Job Boards that can be shared with the client).

Personal note: I also use Trello for keeping up with personal life. We have a home board where we add our needs, wants, upcoming vacation ideas, a honey-do list, and any reminders we may need (like remember to set up Ernie’s vet appointment in June).

Trello tip: Make sure you add a “Done” column to drag all your complete cards to!

Soleil’s Must Have Rating: 8/10. It just makes everything so organized. Need.


5 – Adobe Lightroom. BECAUSE DUH.

Were you nervous I wouldn’t include the most important software of all time for photographers?!  Some photographers prefer to edit in PS, I am not that photographer. I cull and batch edit most of my images within LR. It, by far, is the most amazing tool for having a quick turn around time for my clients. I create my own presets (premade edits) to use in LR, but if you are a new photog and looking for some help, Etsy is a great resource for purchasing presets!

Soleil’s Must Have Rating: 100/10. Yes, 100. It is a MUST HAVE.


Other apps that didn’t make the top five list:

  • Gmail G Suite
    • $5 a month for a professional email suite. Trust me, I’m super techy when it comes to email hosting directly off your web host site. I can make it mobile and linked to Outlook or Apple Mail, but it isn’t reliable. Ya know what is? Gmail G Suite. $5 is nothing to bitch about when running a business. Also, not to be too picky but having a professional email makes you look more credible. It costs less than a Grande Mocha Frappuccino at Starbucks, just do it.
  • Google Drive
    • For spreadsheets and file sharing.
  • Google Calendars
    • Syncs with my iCal and Dubsado calendar. If it doesn’t go in my calendars, I don’t remember it.
  • Facebook Messenger
    • I get a lot of messages throughout the day, either from other vendors or clients. I have to have it!
  • Stripe
    • Stripe is how I process payments, I love having the app on hand for quick peeks on when money is transferring, what percentages go where, etc.
  • Dropbox
    • Some clients and vendors prefer to file sharing using Dropbox.
  • YNAB
    • Not business related, but it’s like Quickbooks for your personal life.
  • Evernote
    • I use Evernote solely to share timelines with my clients (and vendor teams, if need be). It syncs to our apple watches on wedding day and alerts of what our next step is during wedding day. Oh, we also bring our iPad with us on Wedding Day, so that if any requests are made for shots, we can quickly jot them down in Evernote, get reminded via tap on apple watch, and get to it!
    • Soleil being super techy here. It’s how I program my smart home to do literally everything for me. When we drive within a half mile radius of our house, the lights automatically flick on. If I post on the blog, it resizes and drafts for Insta and Facebook. I get automatic alerts on sudden weather and lighting changes to my apple watch on session/event dates. I know, it’s techy.
  • We also use Google Business Analytics on the regular.
  • Oh, and obviously Instagram + Facebook.

For the most part, we do not process your information in-house, but give it to third party processors for processing. For example, when PayPal takes your payment information, they are a third party processor. They process your payment and remit the funds to us. So in many instances, it will be necessary for us to transmit your information to a third party processor, as we do not have the capability to perform these functions. However, we may, from time to time, process your data internally.
